Put every answered call where your office already works.
HVAC Reception writes callers into your field-service software as real records — customer, location, job and appointment — using your own job types and booking rules.

What a connected system receives from a booked call
A live booking runs the same six operations in the same order on every connector, so the safeguards never depend on which software you use. Call types set to a shallower depth stop earlier in the same sequence, as the next table shows.
- Save the call as a request with its own ID
- Match the customer and location, or create them
- Create the job with your mapped type and source
- Re-check the chosen window against live availability
- Book once, with an idempotency key
- Read back the appointment before the caller is told
Choose how far each call type goes
You don’t have to open everything to live booking on day one. Set the depth per call type and change it as you gain confidence in the mapping.
| Depth | What is written | Good fit for |
|---|---|---|
| Job request | Customer, location and an unscheduled job with the call summary; stops after step 3 | Estimates, commercial work and anything dispatch prefers to place by hand |
| Live booking | Everything above plus an appointment in an open arrival window | Tune-ups, plan visits and routine no-heat or no-cool service |
| Escalate, then record | Your on-call escalation runs first, then steps 1–3 record the job request | Priority and safety-sensitive calls under your rules |
Connector health, in plain words
| Status | Meaning | Your action |
|---|---|---|
| Connected | Bookings are being written and read back | None |
| Sign in again | The session expired or needs MFA; requests are queued, not lost | Reconnect; queued requests resume |
| Mapping needs attention | A call type or field no longer lines up | Fix the mapping; held requests retry with original details |
| Needs review | A match or write could not be decided safely | Open the request and choose |
Using different software?
Every call still becomes a structured job request with an owner and next action in the HVAC Reception inbox, ready for your team to enter or act on.
