What the HVAC Reception concept would do if it were built, what it deliberately would not do, and the questions each capability raises. None of this is available today.

Most AI receptionist vendors describe the same core set of features: answering around the clock, handling overflow when lines are busy, routing urgent calls, booking appointments, summarising calls and following up with callers who hung up. Avoca, Smith.ai and Goodcall all publish HVAC-specific pages built around versions of those features.

The HVAC Reception concept starts from the same list but applies one design rule to every capability: intake first, your company’s own rules, and a person for anything urgent or safety-sensitive. The software would collect the information your team needs and deliver it to the right person. It would not replace the judgment of your dispatcher, your on-call technician or your office manager.

The six proposed capabilities

What every capability shares

  • Your rules, written down first. Each capability depends on decisions only your company can make: which calls reach the on-call technician, which time windows can be offered, what fees must be disclosed. The call-intake checklists set those decisions out by call type.
  • A named receiver for every call. Nothing ends as “the office will call you”. Each call produces a handoff to a person or queue with an owner.
  • No diagnosis, no safety advice. Anything that sounds urgent or safety-sensitive is routed to people using your own safety-sensitive procedure.
  • Honest caller expectations. Callers are told what was recorded and what happens next, never a promise the office has not authorised.

Where the concept deliberately stops

Some vendors describe their AI booking jobs straight onto a dispatch board, recognising returning customers from CRM history, or discussing equipment problems with callers. Those claims are theirs, and we have not verified them. The HVAC Reception design proposes a narrower role: capture requests accurately, confirm only what your rules allow, and hand everything else to your team. If a narrower role would not be useful to your office, that is valuable feedback on the concept.

Frequently asked questions

Are any of these capabilities available?

No. HVAC Reception is a concept. There is no product, no phone number to forward, no pricing and no customers. Each page describes a proposed design and the limits it would work within.

Why publish capabilities for a product that does not exist?

To test whether the design is useful before building it, and because the thinking behind each capability — what to capture, when to escalate, what not to promise — is useful to any HVAC office evaluating answering options today.

What would HVAC Reception never do?

It would not diagnose equipment, give repair or safety instructions, decide on its own that a call is or is not an emergency, or promise arrival times and prices your company has not authorised. Those decisions belong to your written rules and your people.

Does HVAC Reception integrate with ServiceTitan, Housecall Pro or Jobber?

No. The concept has no integrations. Several vendors in this market advertise connections to field-service software; if that matters to you, our compatibility guide lists the questions that separate a real integration from a notification email.
