HVAC Reception is a concept for answering HVAC calls the way a well-run office would: capture what your team needs for each type of call, follow your company's rules, and put anything urgent or safety-sensitive in front of a person.

Why intake-first

Most HVAC answering options are sold on coverage: every call answered, day and night. Coverage matters, but a call that is answered and then handed off badly still costs you — the dispatcher calls the customer back to ask for the address again, the on-call technician gets a text with no callback number, or a replacement lead lands in an inbox nobody owns.

So this concept starts from the other end: what each person who acts on a call needs to know, in what order, and how the office knows they received it. The site's free resources come from that same work.

The design rules

  • Your rules, written first. Urgency, booking windows and fee wording are your company's decisions.
  • A person for anything urgent or safety-sensitive. No diagnosis, no improvised safety advice.
  • One owner for every call. Each call ends in a handoff to a named person or queue.
  • Honest caller expectations. Callers hear what was recorded and what happens next — nothing unauthorised.
